Wedding Day Timeline Tips

When Spenser and I got married, I didn’t even know where to begin in planning our wedding day timeline. It was totally overwhelming to try and guess at how much time we needed for each part of the day! How early should I put my dress on? How long would our ceremony be? How much time would we need between the ceremony and reception? Should we do a first look?! Yes, these questions are personal and the answers will vary a little for each couple, but there are some overarching guidelines that all couples should know going in!

I want every Emi Rose Studio couple to have ZERO stress in figuring out what will work for their wedding. We’ll personalize your photography timeline to exactly what will best capture your story and your traditions, but since I’ve been to a few weddings (ahem, MANY weddings!) in this line of work, I’ve compiled some thoughts on the ideal wedding day timeline to help you start planning. Let’s work together to make your day as amazing and stress-free as possible!

 

Wedding Day Timeline Tips

 

The most important things to consider when planning your wedding day timeline are your traditions and your locations.

When I shoot a wedding, my mission is to capture the unique story of your love and the special traditions (old or new!) that make you who you are. Your timeline also needs to suit the traditions that you’ll be honoring on your wedding day! Do you need to factor in extra time for a long cathedral ceremony? Are you planning a traditional Indian wedding with days of prep and celebration? Is your idea of tradition celebrating your love of the outdoors with a mountainside elopement? In that case, you’ll want to consider travel time to and from the ceremony site!

Location is important for so many reasons. If your ceremony and reception are at two different venues, you’ll need to consider time for your guests to travel from one site to the next. Do you want your portraits taken at a separate location? We’ll need time for that too! Your location is going to determine the feeling of your photos, so choose something that speaks to you. Keep in mind that in order to get those warm and bright photos that we all love, we’ll need plenty of natural light. Look for a nice outdoor space like a local park, botanical garden, or meadow that we can explore for your photos!

Now, let’s walk through the day and talk about what you should think about to make each part your own!

 

GETTING READY

3 to 4 hours

You’ll get started with hair and makeup pretty early in the day. I usually plan to start photographing around the time that your makeup artist arrives. You’ll likely have your hair done by then, and I can capture those glamorous getting-ready shots as you put the finishing touches on your makeup, and some candid shots of you and your girls having fun! Take this time to celebrate with your ladies. Plan a fun brunch with matching robes and mimosas (and preferably some throwback tunes that we can all jam to!).

Photographer’s Tip: Choose a getting-ready location with as much natural light as possible! This will keep you feeling bright and happy, and will give us the most flattering light for your getting ready photos.

I also like to use this time to take some bright and beautiful images of your wedding details! You’ve carefully selected each and every item, heirloom, and accessory for your wedding day, and I want to be sure to record all of those special details.

Photographer’s Tip: Gather details like jewelry, stationery, shoes, and accessories in a bag so that I can grab it and get started styling as soon as I arrive!

PUTTING ON YOUR DRESS

30 minutes

Plan to put your dress on about three hours before your ceremony. I know it seems early, but it’s not! Something always runs behind on the wedding day, and being dressed and ready to go will help you feel on top of things and ready to roll.

Photographer’s Tip: Your bridesmaids should get dressed before you do – this way they’ll look coordinated and polished in photos when they’re helping you get into your gown!

 

THE FIRST LOOK + COUPLE PORTRAITS

1.5 hours

If you choose to do a first look, this should happen about two hours before the ceremony. Whether or not to do a first look is a personal decision, but I highly recommend it to my couples! The first look lets me capture the real emotions of you two seeing each other for the first time, where you can really express yourselves without the pressure of being in front of a crowd. Having a quiet, private first look lets you two fully appreciate the moment. Weddings go by fast, and spending a few quiet moments with your soon-to-be-spouse should be a priority.

After the first look, we’ll move right into your couple portraits! Schedule enough time so for this so that we can have some fun, stress-free time to devote to capturing those romantic images that you two will treasure forever! I love to create a natural experience full of romantic looks and candid moments, but we need time for that – rushed portraits result in stiffer poses and won’t let you be fully in the moment.

If you choose not to do a first look:

A first look isn’t right for every couple. If you choose not to do a first look, just keep in mind that we’ll need to do your couple portraits and wedding party photos after your family portraits (between the ceremony and the reception). We can absolutely make that happen, but you’ll want to schedule in at least an hour and a half for all of these photos, and you’ll most likely not attend the cocktail hour!

WEDDING PARTY PORTRAITS

30 minutes

Reunite with your bridesmaids and groomsmen for some portraits with your favorites! We’ll move through wedding party photos pretty quickly, but I like to honor your relationships with the people who’ve made you who you are with some beautiful one-on-one and group photos.

 

THE CEREMONY

15 minutes to 1 hour

You and your soon-to-be-spouse will go your separate ways to await the biggest moment of your lives! Head to your ceremony’s bridal area to touch up your hair and makeup, grab a snack, and get EXCITED!

The timeline for your ceremony will depend entirely on what kind of ceremony you have. These days you can really do whatever you’d like – have a friend officiate your wedding on a dock by the lake, or go all out royal wedding. Traditional Catholic weddings usually last around an hour, while casual backyard weddings can be as short as 15 minutes.

Photographer’s Tip: Ask your officiant to step to the side when you take your first kiss, so that when you feel like the only two people in the world, your photos look that way too. 

 

 

POST CEREMONY + FAMILY PORTRAITS

30 minutes

I love it when couples take a moment to celebrate right after the ceremony! Bring a bottle of champagne to pop together and toast to the best decision of your lives.

After the ceremony we’ll also do your family formal portraits. Make sure your family knows to stick around the ceremony location so that we can move quickly and get everyone over to cocktail hour!

Photographer’s Tip: Think about the family members that it will be most important to you to have formal portraits with! I usually recommend that we photograph combinations of grandparents, parents, and siblings, as well as your newly united families together.

 

COCKTAIL HOUR + RECEPTION

1 hour for cocktail hour and 4 to 5 hours for the reception

CONGRATS! Now the party begins! Grab a cocktail, celebrate with your family and friends, and kick of married life with a bang!

Photographer’s Tip: I’ll take another round of detail photos before your reception gets underway, this time of the table settings, place cards, and centerpieces. Having some time during cocktail hour will let me capture these details untouched, before your guests enter the reception area!

I usually plan to stay until about an hour after the dance floor opens. That way, I can get some super fun shots of your friends and family getting their boogie on, but I leave before things get too sweaty and boozy (unless that’s what you’re into, in which case I’ll shut the venue down with you guys)!

Ashley & Alex | Inn on the Lake Wedding

Canandaigua Wedding at the Inn on the Lake by Emi Rose Studio

Ashley and Alex’s wedding was one beautiful light-filled love fest! These two are from Pennsylvania, but they planned a beautiful wine country destination wedding in the Finger Lakes. Ashley (ever the gracious hostess, from what I’m told), set up a Facebook group for guests in the months leading up to the wedding, with details about the event and a steady stream of info on the wine trails and scenic drives that are around just about every corner up here. I’ve got to say, though – even if the guests never once stepped off of the Inn on the Lake’s grounds, they’d still be in for a treat. This was one lovely day for a lovely, lovely couple!

Ashley and Alex’s wedding was filled with the little details that make my photographer’s heart (and my hopeless romantic’s heart) happy. I almost always get a little teary-eyed at the weddings I shoot, but every once in a while, I shoot a wedding that gets me again as I’m editing through the photos, and this was one of those. As you scroll through these photos, keep an eye out for the special locket that Ashley kept wrapped around her bouquet – it holds a few photos of Ashley’s late father. She wanted to carry a memory of her father with her so that he could walk her down the aisle, but with this locket, you’ll see that her father was with her from start to finish – as she got her hair and makeup done, as she walked down the aisle to the love of her life, as she laughed on the lakeshore with her friends, and as Ashley and Alex gathered everyone they love around them for a celebration of love and happiness.

Ashley and Alex, may you carry the love for each other and the love of your family and friends wherever you go! I’m so happy to have been there to capture these moments for you!

When I drove up to Brianne’s family property in Orangeville, New York, I found Tommy standing in the road in the late summer sunlight, looking out over the golden hills, the neighboring Christmas tree farm, and and the long road that leads to their little corner of the world. Tommy pointed me in the right direction, and I rolled and bumped my way up a little dirt path to the scene of this lovely, lovely session.

One of the things that I love about engagement sessions is that they give a couple a moment to pause, reflect, and simply celebrate the love that’s led them to spend the rest of their days together. Brianne and Tommy’s session was nothing if not that – a quiet moment, away from wedding planning, away from everyday life, away far from the noise of traffic. When you’re with these two, you can feel the spark between them, and I was lucky enough to capture a few of those moments on this beautiful piece of earth, in the last of that warm summer sunlight!

Meaghan & Brian | Anyela’s Vineyards Wedding

I met Meaghan and Brian last fall, when I photographed their gorgeous engagement session on the shores of Skaneateles Lake. Their story started in Skaneateles, with a first date at the Skaneateles Bakery, and blossomed into a beautiful love complete with a proposal on the water and fireworks over the lake. It seems only natural that they came back to Skaneateles for their wedding, with a ceremony at St. James Episcopal church in the village, and a reception at Anyela’s Vineyards, a stunning Finger Lakes winery nestled along the lake.

Everything about this wedding was stunning, from the details, to the gorgeous scenery around Skaneateles, to the smiles on Meaghan and Brian’s faces when they took their first steps as husband and wife. It is so clear that these two have a deep, meaningful love that bears laughter and tears with equal grace, and I am so happy to have been able to capture such a beautiful moment of their story on camera!

I learned so many things at Gianna and Erdem’s beautiful wedding – that bonfires are the absolute best way to end a wedding reception, that Turkish people are waaaay better dancers than the rest of us, and that these two have a one-in-a-million kind of love. They way they looked at each other as Gianna walked down the aisle, the tears glistening in their eyes as they took their first dance – these are the reasons that I do what I do, and why I love this work.

Marcie and Dave took a major trip down memory lane for their engagement session. These two met at Hobart and William Smith in Geneva, NY, and although they now live in Boston, they’re coming back to where it all started to take the next big step and get hitched! After touring the spectacular North Farm where they will be married later this year, we headed to the Hobart campus for this sweet, sweet engagement shoot. I really followed Marcie and Dave along as they revisited some of their old haunts, from the beautiful paths down to the HWS boat house to the benches where they had their very first kiss – it doesn’t get much more romantic than that, folks!

Katie + Mike | The Wadsworth Homestead

Katie and Mike’s wedding was a dream to shoot! From their engagement session last fall to the final dance of the night, they were the sweetest, most lovely people to work with. I find it unsurprising that Katie is a kindergarten teacher – she is one of the most effusive, joyful people I’ve ever met (seriously, go scroll to her entrance into the wedding ceremony!), and the signs that she hand made for the reception reveal a distinct and impressive crafty streak! Mike is also a teacher, but he spends his days with high schoolers – I think it’s just beautiful symmetry that these two enrich the lives of kids, teens, their loved ones, and anyone blessed to be a part of their life.

I can’t think of a better venue for these two than the Wadsworth Homestead, an amazingly beautiful historical mansion located in the heart of Geneseo, New York. From the airy rooms upstairs where the bridal party prepped pre-ceremony to rolling lawns and festive tent, this place is a bride’s (and a photographer’s!) dream come true.  And since both Katie and Mike graduated from Geneseo, it seems only fitting that they would be married steps from campus!

Congratulations, Katie and Mike! I have no doubt that your marriage will be even more beautiful than your wedding.

When Should We Schedule Our Engagement Session?

You’re engaged! The ring’s officially on your finger, you have a wedding season (if not a solid date) picked out, your eyes are glued to Pinterest for about 80% of the day, and you’re ready to think about engagement photos! (P.S. if you’re undecided about whether to make time for an engagement session, head on over to my previous post about why engagement sessions are so darn important).

The next question is, of course, when over the course of the next 1-2 years of blissful engagement should you schedule your engagement session? I get asked this question all the time, so I’ve pulled together the biggest considerations on engagement session timing so that you can make sure that you not only get some amazing images to celebrate your love and excitement, but that you have them in time for any of the major engagement milestones that you could need them for!

Question #1: How do you plan to use your engagement photos?

This is probably the biggest thing you’ll need to consider when you’re deciding on when to do an engagement session. Here are some of the most common ways that I’ve seen my brides and grooms use their images, and the timelines that I would recommend to meet each one!

Do you plan to use your engagement photos for engagement announcements or engagement party invitations?
Do you want to submit a photo to a local newspaper to shout your big plans from the rooftops?
Are you just SUPER excited about this next step in life and simply can’t wait to celebrate?
Then think about scheduling your session within the first month of getting engaged.

Do you plan to use an engagement photo for save the dates?
Do you want to include your engagement photos in the design of your wedding website?
Then I’d recommend scheduling your session at least 8-10 months out from your wedding.

Have you decided on your wedding photographer and want to get to know them a bit before your wedding day?
Are you looking for a way to celebrate your engagement, reconnect, and commemorate this chapter of life?
Then think about scheduling a session about 6 months out from your wedding.

Do you plan to submit a photo and wedding announcement to a local newspaper? (Note: Check with your local paper for guidelines – some have specific formatting requirements, and some require submissions as soon as six weeks before the big day)
Then you’ll want to have your engagement photos taken no later than 3 months prior to your wedding. 

Is your wedding right around the corner? Are you close to the finish line and worrying that you’ve missed out on the engagement session fun?
Are you realizing that you’d like some great photos to include on wedding day programs, on favors, or in your guest book?
Then it’s not too late to fit an engagement session in as late as 1 month before your wedding!

 

 

Question #2: What season is best for your engagement session?

This is a personal choice that will have a lot to do with your style, your wedding season, and the kinds of memories that you’ll want to capture in your engagement photos!

Let’s say your wedding is in June, and you’re thinking of scheduling your engagement session about 6 months out. That puts you smack in the middle of December, which could be wonderful for a cozy holiday session or a winter wonderland look. But if you want to use those images for your springtime wedding decor, you might prefer something a little warmer! If that’s the case, think about having your engagement photos taken a few months earlier to take advantage of the late summer sunshine or fall foliage.

Think also about potential locations for your engagement session! If you dream of having your photos taken at the ice cream parlor where you had your first date, or in a canoe at your favorite lake, weather can be a little limiting – I want to help you tell your story, so let’s work together to make sure the timing of your session lets your story shine! (That being said, a cozy winter ice cream session sounds absolutely magical – if you’re into it, get in touch!).

Question #3: What is your availability?

Life is busy! On top of wedding planning, you and your soon-to-be-spouse are probably working, traveling for work, visiting friends, and (hopefully) taking time for a vacation or getaway. Look at your calendars and see if there are any months that absolutely DON’T work to fit in an engagement session, or if you have any windows of time that you can lock down now to make sure life doesn’t get away from you!

Your photographer’s travel time is also a consideration – if you’re not located in upstate New York, I’m happy to come to you and take some magical photos! Just be sure you give me enough advance notice so that I can be sure to carve out time for you and make my travel plans.

Every couple wants amazing wedding photos. A start to finish documentary of your wedding day, told in fine art images, is almost as much of a requirement these days as an officiant or a reception venue! The engagement session, though, remains a bit of a question for some couples. Why do an engagement session? Can you fit it into your schedule? Is it worth paying for? Will you (or more likely, your future groom) feel weird in front of the camera?

I feel so strongly about the value of the engagement session that I include it as a complimentary offering in every wedding package. It’s a core piece of the Emi Rose Studio wedding experience, and I truly wouldn’t want any of my couples to miss out!

Spenser and I had engagement portraits taken shortly after we got engaged, and I’m telling you – they’re still my favorite photos of the two of us. Our wedding photos are beautiful, and I’ll treasure them forever, but there’s something about the casual excitement and just-the-two-of-us happiness in our engagement photos that will always have my heart.

Here are just a few of the reasons – both sentimental and practical – that I think the engagement session is such an important part of your whole wedding process!

1. A moment to reconnect

Wedding planning can be stressful! I’ve been there. Between touring venues, making (and remaking) guest lists, choosing attire and decor, and the thousand little “to-dos” that pop up in the planning process, it can be easy to lose sight of the romance. Engagement portraits give you a chance to take an afternoon off from your to do list, focus on each other, and celebrate the reason behind it all.

2. A chance to celebrate your story

The engagement session is an amazing opportunity to show what makes you YOU. Maybe we’ll go to the spot that you two had your first date, or the ice cream parlor where you first said “I love you.” Maybe we’ll head to your favorite hiking trail. Maybe we’ll bring your violin, or your canoe, or your dog! My favorite sessions are often those in which couples show off some aspect of their unique personality. We kicked off Meaghan and Brian’s engagement session at the Skaneateles Bakery, where they had their first date. Caroline and Matt’s dreamy e-session included their spunky Border Collie, Scout, who pretty much stole the show.

Whereas your wedding photos will tell the story of the wedding day, engagement photos are often a perfect way to tell the story of you, and in my book, that’s really what this is all about.

3. A chance to get comfortable in front of the camera

Let’s just face it. On some level, every single person is worried about how we  might look in front of the camera or how bad we might feel they we at “posing.” The engagement session is the perfect way to dispel this kind of negative self-talk before your wedding day! I want every couple to walk into their wedding day feeling confident that their real, most beautiful self will shine through in every photo, without feeling the pressure of being a world-class model. I find that one of the best ways to do this is to have an engagement session, so that you can get comfortable with taking pose prompts and with acting natural in front of the camera. Once you two see how much you love their engagement photos, even if you felt self-conscious as the photos were being taken, the wedding day tends to be a lot less stressful.

4. An opportunity to get to know your photographer

We’re going to spend a lot of time together on your wedding day, and instead of feeling like you have a clingy vendor following you around, I’d prefer you to feel like I’m just another friend hanging out at the wedding! During your engagement session, you will get to know my style and how I interact with clients during a photoshoot, so that you know just what to expect on your wedding day.

For me, it is so important to get a sense of your personalities and your dynamic as a couple before the wedding day. I’ll take note of how you interact with each other, how you make each other smile, and how you make each other laugh, so that on your wedding day, I know how to capture those little moments that could only happen between the two of you.

5. Amazing photos to celebrate this time in your lives

You probably have some cute photos of the two of you already, but there is really no replacement for professional, romantic photos of the two of you for things like newspaper announcements, your wedding website, and save the dates! I love photographing engagement sessions because I love photographing love, and there’s something about the ease and happiness of two people just being together that makes this whole engagement process a joy to photograph. Best of 2016 | Emi Rose Studio Weddings

This post is a little late, since we are already rocketing our way into 2017 and all of the new adventures that are to come, but I would be remiss if I didn’t share some of the highlights of this past year!

From a personal perspective, 2016 was definitely one for the memory books – in January (just over a year ago, now!), Spenser and I closed on our first home, an adorable shake-shingle Dutch colonial in Pittsford, NY. In June, we had our very own wedding – a small affair at The Rabbit Room, one of my all-time favorite venues (an old stone mill that has been converted into a restaurant and several floors of art gallery space). It was a dream come true, to say the least. From our honeymoon in Provence to adventures closer to home, 2016 has been good to us. 

2016 has also shown me how endlessly lucky I am to do what I love, and work with so many incredible people. It may sound cliche, but while I love the technical aspects of photography and the creative challenge of creating beautiful images, it is truly the people I work with that make me love my job. It is such a blessing to be able to be a part of every love story that I get to shoot, to experience the love and excitement of every wedding, and to record all of the incredible little moments that make each event unique.

Shooting a wedding is a long, coffee-fueled, marathon of an event! Even when I get home tired with my feet cramping and my mind spinning with the lyrics to “Shout!” for the millionth time, I’m always inexplicably happy. When I pull out my memory card to flip through the images from the day, it’s photos like these that make me fall in love with my job all over again and remind me why I do what I do. I hope you enjoy the best of 2016 as much as I do!

Oh my goodness, it was hard to what to share as the best of the best! Here’s hoping 2017 is as incredibly fun and photogenic as 2016.
